Logistics & Coordination Skills

  • Event logistics coordination: Supports event planning activities including venue, transportation, catering, and attendee logistics.
  • Vendor coordination: Maintains communication with suppliers and partners to ensure timely delivery of event requirements.
  • Problem-solving under pressure: Assists with resolving onsite issues and adapting to changing event needs.

Client & Guest Experience Skills

  • Hospitality mindset: Supports a welcoming and professional experience for clients, guests, and internal stakeholders.
  • Attendee support: Helps manage registration, guest communications, and onsite attendee needs.

Education and Experience Requirements

Bachelor's Degree related field required or equivalent combination of education and experience sufficient to successfully perform the essential functions of the job. Entry level position. Experience in aviation, marketing, public relations, customer service preferred.

Position Purpose:

Responsible for coordination of various aspects of corporate, customer and employee events as assigned by Senior Manager, Event Marketing and/or Manager, Event Marketing.

Job Description

Principle Duties and Responsibilities:

Essential Functions:
  1. Plan and execute Marketing events which may include multi-day conferences, air shows, galas, major sporting/hospitality events, multi-day employee offsite meetings, road shows, internal meetings, luncheons and employee/family events. .
  2. Monitor costs to assure budgets are maintained, process invoices, compile budget recaps and make budget recommendations.
  3. Distribute internal and external correspondence and communication relative to meeting/event logistics. .
  4. Provide feedback on event success, customers perceptions and satisfaction levels upon the completion of an event. .
  5. Promote and maintain a positive rapport between customers, other Gulfstream employees and service suppliers to enhance internal and external customer satisfaction during events.

Additional Functions:
  1. Must be flexible with scheduling and mandatory overtime requirements. .
  2. Able to manage multiple projects in a fast-paced environment. .
  3. Coordinate various responsibilities associated with Promotional Merchandise. .

Perform other duties as assigned. This job requires one to be able to read, write, speak, and understand the English language.
