Education and Experience Requirements
Job Description
- Serve as the primary point of contact for all internal and external matters involving the President, exercising sound judgment, diplomacy, and confidentiality .
- Manage a complex and dynamic calendar, ensuring alignment with strategic priorities, key business cycles, and organizational demands .
- Coordinate extensive domestic and international travel .
- Lead the planning and preparation of executive meetings and events .
- Support the broader Leadership Team (LT) proactively, especially during administrative absences .
- Draft, edit, and manage executive correspondence .
- Prepare, organize, and distribute meeting materials .
- Facilitate information flow across the President’s office and Gulfstream leadership .
- Maintain strong, professional relationships with Corporate senior leadership, their assistants, and other Business Unit offices .
- Act as the primary liaison with Corporate Flight Operations for travel requests .
- Prepare detailed justification summaries to support prioritization .
- Maintain strong relationships with Corporate Flight Operations staff to support timely approvals .
- Manage passport and visa applications and renewals .
- Ensure compliance with federal and international travel requirements .
- Maintain professional relationships with external processing vendors .
- Track all correspondence due to shifting vendor interpretations .
- Coordinate enterprise‑level meetings on behalf of the President .
- Build strong relationships across the executive team and partners .
- Provide administrative support to the Director of Strategic Projects .
- Implement improved workflows across the Office of the President .
- Anticipate needs and proactively remove barriers .
- Manage budgets, expenses, and executive services .
- Maintain structured documentation supporting continuity .
- Experience with C‑suite support preferred.
- Experience managing international travel requirements.
