Education and Experience Requirements

High School Diploma or GED. 10 years executive support experience to include 5 years supporting senior executives. Bachelor's Degree in Business Administration, office management, or related field preferred.

Position Purpose:

The Executive Assistant to the President provides high‑level strategic, administrative, and operational support to ensure the President's office functions with excellence, efficiency, and discretion. This role requires exceptional judgment, strong relationship‑building capability, and the ability to represent Gulfstream professionally with both internal and external stakeholders. The Executive Assistant must be proactive, detail‑oriented, and highly skilled at anticipating needs in a fast‑paced environment.

Job Description

Principle Duties and Responsibilities:

Essential Functions:
  1. Serve as the primary point of contact for all internal and external matters involving the President, exercising sound judgment, diplomacy, and confidentiality .
  2. Manage a complex and dynamic calendar, ensuring alignment with strategic priorities, key business cycles, and organizational demands .
  3. Coordinate extensive domestic and international travel .
  4. Lead the planning and preparation of executive meetings and events .
  5. Support the broader Leadership Team (LT) proactively, especially during administrative absences .
  6. Draft, edit, and manage executive correspondence .
  7. Prepare, organize, and distribute meeting materials .
  8. Facilitate information flow across the President’s office and Gulfstream leadership .
  9. Maintain strong, professional relationships with Corporate senior leadership, their assistants, and other Business Unit offices .
  10. Act as the primary liaison with Corporate Flight Operations for travel requests .
  11. Prepare detailed justification summaries to support prioritization .
  12. Maintain strong relationships with Corporate Flight Operations staff to support timely approvals .
  13. Manage passport and visa applications and renewals .
  14. Ensure compliance with federal and international travel requirements .
  15. Maintain professional relationships with external processing vendors .
  16. Track all correspondence due to shifting vendor interpretations .
  17. Coordinate enterprise‑level meetings on behalf of the President .
  18. Build strong relationships across the executive team and partners .
  19. Provide administrative support to the Director of Strategic Projects .
  20. Implement improved workflows across the Office of the President .
  21. Anticipate needs and proactively remove barriers .
  22. Manage budgets, expenses, and executive services .
  23. Maintain structured documentation supporting continuity .

Perform other duties as assigned.

Other Requirements:
  1. Experience with C‑suite support preferred.
  2. Experience managing international travel requirements.
This job requires one to be able to read, write, speak, and understand the English language.
